Pulse AI ("we", "us", "our") is a UK-based provider of AI chatbot services for small businesses and tradespeople. This policy explains what personal data we collect, why we collect it, how we use it, and the rights you have over it. We take data protection seriously and handle all personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

Pulse AI is operated as a UK sole trader business. For any questions about this policy or how your data is handled, you can contact us at hello@getpulseai.co.uk.

2. What information we collect

We only collect information that is necessary to run our business and provide our services. Depending on how you interact with us, this may include:

  • Contact details you provide via our contact form, email, or booking page — such as your name, business name, email address, phone number, and the contents of your message.
  • Booking information when you schedule a demo call through our online booking tool, including your name, email address, and chosen appointment time.
  • Client account information if you become a Pulse AI customer — such as billing details (handled securely by our payment provider — we do not store your card details ourselves), business details needed to set up your chatbot, and support correspondence.
  • Basic technical information such as browser type and general usage patterns, where this is provided to us automatically by the tools we use to run our website (for example, our website hosting provider).

3. How we use your information

We use the information we collect to:

  • Respond to enquiries and provide quotes or demos
  • Set up, deliver, and support the AI chatbot service you've signed up for
  • Process payments and manage your subscription
  • Send important service updates (for example, changes to your plan or scheduled maintenance)
  • Improve our website and services
  • Meet our legal and accounting obligations as a UK business

4. Our legal basis for processing your data

We rely on the following legal bases under UK GDPR:

  • Consent — for example, when you submit a contact form or book a demo
  • Performance of a contract — to provide the chatbot service you've purchased and manage billing
  • Legitimate interests — to respond to enquiries, run and improve our business, and keep our services secure
  • Legal obligation — to meet tax, accounting, and other regulatory requirements

5. Who we share your information with

We do not sell your personal data. We only share information with trusted third-party service providers that help us run Pulse AI — for example, providers who help us build and host chatbot agents, process payments, manage bookings, host our website, and handle business communications.

Each of these providers has its own privacy policy governing how it handles data, and we only work with providers who take data protection seriously.

6. How long we keep your data

We keep personal data only for as long as it's needed for the purposes described in this policy — for example, for the duration of your contract with us plus any period required to meet our legal, accounting, or tax obligations (typically up to 6 years for financial records under UK law). Enquiry and contact form data that doesn't lead to a customer relationship is deleted or anonymised after a reasonable period.

7. Cookies

Our website uses minimal cookies — primarily those required for embedded third-party tools such as our online booking calendar to function correctly. We do not use cookies for advertising or to build profiles about you for marketing purposes.

8. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate or incomplete data
  • Ask us to delete your data ("right to be forgotten"), where applicable
  • Object to or restrict how we process your data
  • Request a copy of your data in a portable format
  • Withdraw consent at any time, where we rely on consent to process your data

To exercise any of these rights, simply email us at hello@getpulseai.co.uk and we'll respond within one month, as required by law. If you're ever unhappy with how we've handled your data, you also have the right to lodge a complaint with the UK's data protection regulator, the Information Commissioner's Office (ICO).

9. Keeping your data secure

We use reputable, secure third-party platforms to store and process data, and we limit access to personal information to what's needed to run our business. While no system can be guaranteed 100% secure, we take reasonable steps to protect your information against loss, misuse, and unauthorised access.

10. Changes to this policy

We may update this policy from time to time — for example, if we start using a new tool or our services change. Any updates will be posted on this page with a new "last updated" date. We encourage you to check back periodically.

11. Contact us
