Terms of Service

These Terms of Service ("Terms") govern your use of Pulse AI's website and AI chatbot services. By booking a demo, signing up for, or using our services, you agree to these Terms. If you don't agree with any part of them, please don't use our services — and feel free to get in touch with any questions.

1. Who we are

Pulse AI ("we", "us", "our") is a UK-based sole trader business providing done-for-you AI chatbot setup and management services for small businesses and tradespeople, delivered via our white-label platform. You can reach us at hello@getpulseai.co.uk.

2. Our service

Pulse AI designs, builds, and manages a custom AI chatbot ("agent") for your business. Your agent is configured to answer enquiries, qualify leads, and (depending on your plan) handle bookings and WhatsApp or voice conversations, based on the information you provide to us during onboarding. We host and operate your agent on our platform and provide ongoing support, updates, and monitoring for as long as your subscription is active.

3. Plans and pricing

We currently offer three monthly subscription plans, each with a one-off setup fee:

From time to time we may run limited promotional offers (for example, waived setup fees for early customers). Any such offer will be confirmed with you in writing before you're charged. All prices are in GBP and, unless stated otherwise, are not subject to VAT as we are not currently VAT registered.

4. Payment and billing

  • Setup fees are payable upfront before we begin building your agent.
  • Monthly subscription fees are billed in advance on a recurring basis via our payment provider, Stripe, using the card details you provide at sign-up.
  • If a payment fails, we'll attempt to retake it and may pause your chatbot service until payment is received.
  • We reserve the right to change our pricing for new customers at any time. If we change the price of your plan, we'll give you at least 30 days' notice before the change takes effect.

5. Cancellation

You can cancel your subscription at any time by giving us at least 30 days' written notice (an email to hello@getpulseai.co.uk is fine). Your service will continue, and you'll continue to be billed, until the end of that notice period. Setup fees are non-refundable once work has begun, as they cover the time and resources used to build and configure your agent.

6. Your responsibilities

To help us deliver a great chatbot for your business, you agree to:

  • Provide accurate, up-to-date information about your business, services, pricing, and availability for use in your agent
  • Review and approve your agent's configuration before it goes live
  • Let us know promptly if your business details, opening hours, services, or contact information change, so we can update your agent
  • Use the service lawfully and not use your chatbot to send spam, mislead customers, or breach any applicable laws or regulations

7. Service availability

We work hard to keep your chatbot agent online and responsive at all times. However, our service depends on third-party platforms (including our white-label chatbot provider and messaging integrations such as WhatsApp), and we can't guarantee 100% uptime. We'll do our best to notify you of any planned maintenance or known issues that may affect your service.

8. Intellectual property

We retain ownership of the underlying chatbot technology, templates, prompts, and systems we use to build and run your agent. You retain ownership of your own business information, branding, and content that you provide to us. On request, we're happy to discuss exporting your conversation data if you decide to leave.

9. Limitation of liability

Our chatbot agents are designed to support your business — to help you respond faster and capture more enquiries — but they are AI-based tools and may occasionally produce inaccurate or unexpected responses. To the fullest extent permitted by law:

  • We are not liable for any indirect, incidental, or consequential losses (such as loss of profits or business opportunities) arising from your use of our service
  • Our total liability to you in connection with these Terms or our services is limited to the total fees you've paid us in the three months prior to the issue arising
  • Nothing in these Terms limits or excludes our liability for things that cannot legally be limited, such as death or personal injury caused by negligence, or fraud

We recommend reviewing your agent's responses periodically and letting us know if anything needs adjusting — we're always happy to refine and improve it with you.

10. Changes to these Terms

We may update these Terms from time to time, for example as our services evolve. If we make material changes, we'll let you know by email or by posting an update on this page with a new "last updated" date. Continuing to use our services after a change takes effect means you accept the updated Terms.

11. Governing law

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
